In a self-service system, trainers log in and set their weekly availability: which times they're free, how long each session should be, whether they want to double-book sessions or leave buffer time between clients.

Class Capacity Tracking
If a trainer offers group classes, capacity matters. You don't want to overbook a 10-person class or have people on a waitlist when the trainer could handle more. A self-service system tracks capacity automatically.
When a trainer sets up a class, they specify capacity: "Boot Camp, Thursday 6am, 12-person max." The system tracks signups. When the class is full, no more signups are accepted. If someone cancels, the next person on the waitlist gets notified.
This prevents overcrowding, allows waitlist management, and ensures trainers know what to expect before each class.
Cancellation and Rescheduling
Members need to cancel or reschedule occasionally. In an email system, this creates more back-and-forth. In a self-service system, members cancel and reschedule themselves.
A member clicks cancel, the slot opens up, the trainer gets notified, and other members can book that slot. A member clicks reschedule, they see other available times and pick a new one. No emails needed.
You also want to allow cancellations within a certain window (e.g., 24 hours before). The system can enforce this automatically. If a member tries to cancel within 24 hours, they might forfeit the session or get charged. The rules are built in, not enforced manually.

Start by getting all your trainers into the system and having them set their initial availability. Be specific about their schedule: days and times they're available, session length, capacity if they offer classes.
Set your business rules: minimum cancellation notice, session pricing, payment method. Configure the system to enforce these rules automatically.
Promote the system to members. It's easier, faster, and better for them. Drive adoption by making the manual process go away.
Monitor the data: which trainers are booking the most? Are certain times always full? Are no-shows still happening? Use the data to help trainers succeed and optimize your schedule.
